I’ve written and talked a lot about my favorite task management application, OmniFocus, over the years. One of the most frequently asked questions I receive are concerning my perspective settings. In addition to Omni’s built-in perspectives, I’ve rolled a few of my own.
Today
Here is the perspective set up.
This is the perspective I use in the mornings to work through the day. It lists all projects with tasks available. One of the criteria for a task to be available is that it have an available start date. If you have an item marked not to begin until the next day (or next month), it won’t show up in this view. Using the tab key, I can fly through my task list in the morning. If there is a task showing up that I don’t intend to do today, I move the start date forward. You can push it two days by typing “2d” or move it to one week from monday at 2:00 p.m. by typing “1w mon 2pm” or August 7 by typing “8/7.” I get through my entire task list every morning in about 20 minutes. The trick is to be realistic about what you can get done in the day.
Since none of the OmniFocus built-in icons really fit, I extracted the icon file from iCal and imported it in the OmniFocus Perspective icon menu. Here it is.
Clear
Here is the perspective set up.
Despite my best intentions, some days things go a bit sideways and my morning task sort goes largely ignored. At the end of those days, I open the Clear perspective that just gives me a list of all of the available tasks without any sort. The advantage of this perspective is the ability to easily select and process multiple items using the OmniFocus Inspector.
Maybe I’ll move a bunch of items to tomorrow. Maybe I’ll send items to next week. If the day was really bad, I may send them all out two days and head to the beach. The point is, when I’m done, my day is clear.
Focussed Perspectives
Even though the word “Focus” is in the name, a lot of people don’t realize you can tell OmniFocus to limit your view to items in a given folder, project, or context. If you have a folder with all your work projects in it, Focus on that folder while at work. You can custom save that view as a perspective so tomorrow you can get there faster.
Finding Your Custom Perspectives
Once you have your custom perspectives you can access them in the Perspectives menu item, assign them keyboard shortcuts in the perspective window, or open the toolbar editor and copy the perspectives into your toolbar.
So there you have it. OmniFocus Perspective bliss. Share your favorites in the comments.

Maybe I have my tasks set up differently but I have lots of tasks that show as available with no start date set. I created a Today perspective that groups by Start date, then I just expand the sections for Start today/yesterday (and Restore expansion.)

Great post, very nicely done, have you incorporated the iphone app in your setup I’m wondering and also can you share the ical icon, I can’t for the life of me figure out how to extract, I tried to go into "get info" select the top icon, blue border, and copy but I can’t paste it all, anyway I’d love to hear your iphone integration if you have one and the an icon, cheers.

I had only recently figured this out and posted it as a suggestion on the OF forum for Mac. I think the only difference between our Perspectives is #1 the better icon š and #2 I use Context instead of Project View.
When I was searching for just such instructions in the forums, the only posts I ran across were some very time intensive "due date and flag" type of perspectives that had to be manipulated daily (as if I have time for that)!
I had switched to OF from Things when I found (much to my consternation) that repeating tasks didn’t sync from Things desktop to Things ipod causing some real issues when I was out of town and my Mac was home… *sigh*
On searching the forums, I kept seeing the pontificating about "you shouldn’t use a today list"…yeah right. Whatever.
So, into OF perspectives I went, only to find I was having a devil of a time using due dates to show what I needed to do that day. Hated the fact that I wanted to remind myself to water the plants once a week but using a due date for that would make it turn red once the due time hit… it’s not an activity that needs doing "right now!". Not like some of my work functions.
I was so busy working – it took a while for me to have time to sit down in the Perspectives box and work it out.
I love yours though because you have screen shots. I haven’t been to the forums, but if you haven’t done so – do post a link so others who search for these things can find this post! Now if I could only get the mail clippings to work again… it’s always something. LOL.

I usually update my start dates when I do my weekly review on a Sunday evening. I don’t have the time to update them much during the day.
I’m also experimenting with flags for those items on the Today list that I really want to get done today. They’re not critical to be done today (otherwise they’d have a due date), but I want to get them done today. Maybe I’ll extend them out to a "do this week" list instead though.

Am I missing something, or are we on different versions (I assume not – I'm on the latest release and I've got to believe you are too).

David, thanks for the response. I didn't mean it in a bad way (apologies if it came across the wrong way), it's just that your posts are generally really interesting and spark good debate amongst the comments. I would like to see your follow up views and opinions on these comments as I'm sure you'll have good things to add. It's like reading a great book but missing out on the finale.

I'm sure several people here would love to discover how you managed to filter your 'Today' perspective to show only items with a start date. None of the rest of us can manage to get it working, yet it is critical to making that perspective usable – without it you see everything in every project.
For now I guess most of us are using fake 'Due dates' which can be used as a filter. But using start dates would make more sense it only it were possible to filter them. Which you claim to be doing. Are you using an advanced pre-release version that we might see sometime soon perhaps?

I'm sure several people here would love to discover how you managed to filter your 'Today' perspective to show only items with a start date. None of the rest of us can manage to get it working, yet it is critical to making that perspective usable – without it you see everything in every project.
For now I guess most of us are using fake 'Due dates' which can be used as a filter. But using start dates would make more sense it only it were possible to filter them. Which you claim to be doing. Are you using an advanced pre-release version that we might see sometime soon perhaps?

Hang on a minute, reading your post again I think I might understand what you are saying there. The 'Available' task merely excludes tasks that have a start date AFTER today, and any task without a start date will show up.
My guess is that you make this usable by religiously assigning a start date to every single task (or project, assuming start dates are inherited), and anything you don't have a start date for is in a project that is set to "On Hold" so it doesn't show up on your radar.
Is that about right?
